| Job Title: Lease Administrator Department: Property Management Locations: Greenville, NC (in office) Reports to: Director of Property Management Status: Exempt Position Summary The Lease Administrator is responsible for the accurate administration, coordination, and maintenance of commercial property lease documentation. This role ensures lease data integrity, supports compliance with lease terms, and provides administrative support to property management, asset management, and finance teams. Essential Duties and Responsibilities ● Administer and maintain commercial lease agreements, amendments, renewals, assignments, and terminations. ● Track critical lease dates, including rent commencements, expirations, renewals, and option periods. ● Abstract and enter lease data accurately into lease management systems ● Coordinate execution of lease documents with legal counsel, tenants, and internal stakeholders. ● Prepare lease-related correspondence, notices, and documentation. ● Monitor rent escalations, operating expense recoveries, and other lease provisions. ● Manage ongoing lease documentation needs such as Estoppels, SNDAs, and MOLs. ● Assist in the development and implementation of standardized procedures and workflows to enhance the efficiency and accuracy of lease administration processes. ● Prepare monthly lease expiration, rent increases and CPI changes reports and communicate in advance of critical dates with department leaders to facilitate timely decision-making. ● Assist with audits, due diligence, and portfolio reporting ● Maintain organized digital and physical lease files *The responsibilities listed above are not intended to be all-inclusive and may be subject to change or modification based on departmental or company needs Supervisory Responsibilities There are no supervisory responsibilities associated with this position. Education The individual will preferably have earned a degree in a related field from an accredited institution. Two or more years of related experience in commercial lease administration, property management, or real estate operations, and/or equivalent combination of education and experience will be considered. Language Skills The individual should have the ability to read and interpret documents such as lease agreements, vendor contracts, vendor invoices, and contractual agreements related to real estate. The individual should also have the ability to write reports and correspondence, and the ability to speak effectively before clients, tenants, and management. Job Specific Skills The individual should have a strong knowledge of commercial lease structures and terminology. Prior experience with CAM reconciliations, a basic understanding of accounting related to leases, and the ability to interpret legal lease language are preferred. This individual should hold a valid North Carolina Real Estate License. Reasoning Ability The individual will be able to define problems, collect data, establish facts, and draw valid conclusions. The individual should also have the ability to interpret a variety of technical instructions and deal with several abstract and concrete variables. Computer Skills To perform this job successfully, an individual should know about basic email systems, Macintosh/Windows operating systems, Microsoft Office programs, etc. The individual should have the ability to master property management-related software. Prior experience with property management software is preferable. Other Skills Some assigned responsibilities may require this individual to possess and maintain a valid driver’s license and a clean driving record. The individual should also have a commitment to work collaboratively with staff, team, and individuals to accomplish goals. This individual should also have the ability to manage multiple deadlines in a fast-paced environment. | ||
