Responsible for the supervision of the staff of the Health Information Management Services division of ECU Health. Responsible for the oversight of the staff that includes Imaging Services and Release of Information and Duplicate Number staff. Performs other duties as assigned by the Manager of Operations and Director. Serves as back-up for the Manager of HIMS Service Lines. This position is predominantly onsite, providing opportunities for direct interaction and collaboration with colleagues. Remote work will be minimal and only required under specific circumstances.

Assist in establishing policies and guidelines for HIMS Operations to ensure health information is secure and meets quality standards.
Must have exceptional organization skills and the ability to manage multiple high priority projects, lead a diverse group of individuals, and communicate effectively at various levels within the organization.
Participates in the hospital-wide education programs and leadership sessions.
Confronts all work with a positive attitude.
Ensures that work is performed in a timely manner and that all backlogs are reported to manager/director.
Conducts area meetings and effectively communicate to staff and customers.
Responsible for performing quality and productivity statistic reviews. Serves as a liaison with ancillary services, physicians, other medical facilities, patient requests, etc.
Rotates weekend management on-call and holidays for Health Information Management Services Operations division.
Performs other duties, as requested by the Manager or Director.
Responsible for effectively supervising, coaching and evaluating the proficiency and productivity of HIMS staff. Work closely with direct reports to establish expectations and monitor outcomes. Supervise individual performance against job descriptions and performance metrics by establishing and monitoring work assignments. Foster climate of teamwork and collaboration. Encourage professional and personal development. Promote and foster shared governance. Display strong leadership ability, inspiring and motivating team members to achieve excellence.
Support a culture of reward, retention and promotion from within and support programs of staff recruitment and development to sustain ongoing need for quality workforce.
Leads an interdisciplinary workforce to provide competent, efficient, and compassionate care and services. Aid in professional development counseling to promote retention and overall employee satisfaction.
HIMS Operations - Performs supervisory functions such as staff scheduling, maintaining accurate time and attendance records, completing performance appraisals, assisting with development of performance standards and goals, and interviewing and hiring potential personnel, etc. Assures practices are standardized and consistent across facilities.
Builds collaborative working relationships with hospital leadership and physicians to address issues related to compliant documentation and timely completion of medical records. Serves as primary point of contact for ECU HIMS. Maintains consistent communication with various hospital leaders to meet needs as they arise.
Actively supervises and monitors ECU HIMS staff processes, performance and quality. Supervises and reports facility and department specific key performance indicators. Monitors performance and analyzes trends. Leads individuals and groups towards identified outcomes.
Participates in communication with the IT department to ensure appropriate systems, enhancements, and tools are utilized to effectively manage day to day operations. Monitors systems to ensure optimal performance. Recommend upgrades or changes to current system. Ensures appropriate systems are updated as appropriate. Participates in various IT related steering committees for initiatives which affect HIMS Operations workflows.
Proactively manages issues, barriers and successes. Identifies and implements process improvements to decrease costs and improve service for applicable stakeholders.
Supervises staff ensuring departments have adequate coverage in all functional areas and workflow is maintained.
Attend as HIMS Operations representative on designated committees.
Works with other HIMS leaders to develop and update policies.
Supervises the functions of the staff to include Imaging Services and Release of Information.
Oversees the prep, scan and indexing of charts.
Able to perform all job functions of ECU HIMS staff to assist in work flows as needed and to provide new hire training and/or in-service training to staff when needed.
Assists in assuring the confidentiality of all information contained in the medical records
Minimum of Associate's degree- or higher- in Health Information Technology or other health related field required.
Current Certification or eligibility for certification by the American Health Information Management Association (AHIMA) as a Registered Health Information Administrator (RHIA) or Registered Health Information Technician (RHIT) required.
One to three years, including 1-2 years in related HIMS experience required.
5 years of supervisory experience in a related health field may be substituted in place of AHIMA certification.
