Job Description

Position Summary

Responsible for coordinating departmental HIMS Operations activities within the Health Information Management Services division of ECU Health. Serves as liaison between HIMS Operations staff and Operations Manager. Reviews documentation in records to assess medical staff documentation compliance with Joint Commission, CMS and Medical Staff Bylaw requirements. Performs other duties as assigned by the Manager of Operations and Director.

Responsibilities

Record Review:

  • Conducts ongoing physician documentation reviews to ensure presence, timeliness, quality, consistency, clarity, accuracy, completeness, and appropriateness of clinical documentation in compliance with Joint Commission, Centers for Medicare/Medicaid Services, North Carolina Administrative Code and medical staff by laws.
  • Reviews records against defined criteria through either ongoing, open record review process or through focused retrospective studies, as deemed appropriate. Collaborates with medical staff, nursing staff and other relevant professionals who are familiar with the documentation required by the standards.
  • Assists in developing data definitions to clarify what elements are to be examined, what criteria will be measured, where to look for the information and what evidence is required.
  • Assists with development of record review data collection tool, selecting criteria in accordance with requirements and updating tools as requirements change. Works with team to determine appropriate review process, assuring audit consistency across the system; scope of review activities, to minimize redundant reviews and conflicting data definitions.
  • Compiles and submits reports of review results to the HIMS Operations Manager.
  • Works collaboratively with accreditation staff to determine areas of focus and areas of deficiency in documentation are addressed as appropriate.

HIMS Operations:

  • Assists HIMS Operations Manager with directing daily activities, staff scheduling, maintaining accurate time and attendance and monitoring workflow of HIMS Operations staff. Supports Operations Manager in assuring practices are standardized and consistent within HIMS Operations. Ensures that work is performed in a timely manner and that all backlogs are reported to HIMS Operations Manager.
  • Serves as a point of contact for staff on ROI, Chart Completion, Record Management, Identity Management and Vital Records questions/issues. Escalates issues to HIMS Operations Manager or hospital leadership as needed. Maintains timely and consistent communication with HIMS Operations Manager in all areas, reporting concerns as appropriate. Assists with HIPAA amendment requests to assure completion and compliance according to regulatory standards.
  • Builds positive working relationships with physicians, assisting with issues related to compliant documentation and timely completion of medical records.
  • Communicates with the IT department regarding system and hardware issues. Reports and follows up on identified issues. Communicates with HIMS Operations Manager regarding recommended hardware upgrades or changes to current system.
  • Assists HIMS Operations Manager with ensuring department has adequate coverage in all functional areas and workflow is maintained.
  • May serve as HIMS Operations representative on designated committees/workgroups.

Other Key Duties:

  • Must have exceptional organization skills and the ability to manage multiple tasks and communicate effectively at various levels within the organization.
  • Participates in the hospital-wide education programs.
  • Confronts all work with a positive attitude.
  • Performs other duties, as requested by the Manager or Director.

Minimum Requirements

  • High school or equivalent required.
    • Associate's degree in Health Information Technology or related field or successful completion of the AHIMA correspondence course/independent study program in HIT preferred.
    • Current certification or eligibility for certification by the American Health Information Management Association (AHIMA) as a Registered Health Information Administrator (RHIA) or Registered Health Information Technician (RHIT) preferred.
  • One to three years, related HIMS experience is required.

Pay Range

$21.10 - $30.76
