Primary Purpose of Organizational Unit
The Administration & Finance Division encompasses a broad range of operational, financial, technological, safety, administrative and people-focused units that support the daily functions and long-term success of the university.

The Division of Administration and Finance is responsible for all financial and non-academic administrative operations of the university and provides effective and innovative leadership, fiscal responsibility, convenient, reliable services, and a comfortable and secure environment for living and working at East Carolina University. The major units within this division include Financial Services, Materials Management, Campus Safety and Auxiliary Services, Campus Operations, Department for People Operations, Success, and Opportunity, Information Technology and Computer Services, and Financial Planning and Analysis. This division is a service provider in support of academic, research, and outreach missions of the university.
Primary Purpose of Position
This position serves as the primary administrative and strategic support professional to the Vice Chancellor for Administration and Finance, ensuring the effective and efficient operation of the Office of the Vice Chancellor. Reporting to the Vice Chancellor for Administration and Finance, this position manages executive priorities, assesses and responds to urgent issues requiring immediate attention, and serves as a key liaison among university leadership, campus constituents, the Board of Trustees, the UNC System Office, state agencies, and external stakeholders. Responsibilities include overseeing the daily operations of the Vice Chancellor’s office, managing complex schedules and communications, coordinating executive-level meetings and initiatives, and supporting special projects that advance divisional goals. The position exercises significant discretion and independent judgment while handling highly sensitive and confidential information, anticipating executive needs, coordinating competing priorities, and ensuring the Vice Chancellor is prepared to effectively fulfill the responsibilities of the role.
Key Responsibilities include:
  • Executive support and office management (40%)
  • Calendar management, appointment scheduling and meeting coordination (30%)
  • Communication (15%)
  • Policy, Regulation, and Rule (PRR) management and coordination for division (10%)
  • Other duties as assigned (5%)
Minimum Education, Knowledge, Skills, and Experience
High school diploma or equivalency and three years of progressively responsible administrative/office management experience; or Associate degree in secretarial science, business administration, or a related discipline and one year of progressively responsible administrative/office management experience; or Bachelor’s degree, preferably in business administration or a related discipline; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
License or Certification required by statute or regulation

Preferred Education, Knowledge, Skills, and Experience
Experience with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams, with the ability to leverage technology to support executive operations and communication. Strong written and verbal communication skills, including experience drafting, editing, and managing executive correspondence, presentations, reports, and other professional communications. Experience managing complex executive calendars, coordinating meetings and events, tracking projects and action items, and ensuring timely follow-up on strategic priorities.
