Primary Function of Organizational Unit
The Division of Student Affairs comprises over 30 departments, each responsible for providing various student support, services, and educational programs accessible to the university community. Job Duties
Primary Purpose of the Position:
Reporting to the Director of Student Transitions, this position will coordinate a variety of business and/or fiscal functions for Office of Student Transitions (OST). This position is responsible for oversight and facilitation of day-to-day office operations for OST, including financial management of departmental budgets; providing guidance and recommendations to staff members regarding the execution of administrative, business, and fiscal processes. This position will utilize knowledge/interpretation of divisional, university, and state policies/procedures that govern financial operations. This position will provide a broad range of support and leadership to OST, including planning/coordination associated with the administrative, financial, and business components of the various programs offered through this department. Other overarching responsibilities include customer service, serving as the initial point of contact for OST, directly tracking and managing the auxiliary Orientation (~$1M) and Camp Pirates (~$10K) budgets and fee-funded OST (~$100K) budget annually, which includes providing recommendations for appropriate fund usage. This position will directly manage the U-Store for OST, as well as departmental deposits and account reconciliation. This role will facilitate all student hiring processes for OST and will supervise student office employees. Other duties include serving on committees to plan various programmatic offerings, and summarizing/writing reports. This position will use various information systems to communicate with staff and students, as well as to manage student participation in Orientation, Camp Pirates, or other OST programmatic offerings.


Financial Management/Business and Records Administration (40%):
  • Completes financial transactions, processes, and practices for Student Transitions.
  • Oversees/manage the orientation reservation process and record keeping, including session add-ons, administering refunds based on the policy, and walk-in registrations. Manages accurate attendance records, follow up, and compiles final reporting data of student attendees and guests.
  • Manages registration for Camp PIRATES and works on logistics such as group and cabin assignments for participants.
  • Serves as an internal resource on financial matters. Compiles and summarizes financial data to aid in budget management and reporting.
  • Coordinates varied records processing activities requiring the application of well-defined policies and procedures. Prepares and reviews information for completeness and accuracy.
  • Handles requests for reimbursement, payment for services, and purchase orders for programs/projects.
  • Responsible for reconciling and handling online payments submitted via Touchnet. Manages Student Transitions U-Store.
  • Compiles yearly budget reports for orientation, Camp PIRATES, and Student Transitions.
  • Creates COAD course sections in Banner for both fall and spring semesters.
  • Purchase program supplies, office supplies, merchandise items as requested for various events and programs.
Planning and Organizing Work (25%):
  • Prepare orientation materials for sessions including preparing check-in lists, distributing lists to campus partners, managing dining numbers, and preparing check-in materials. This includes ten summer orientation programs with over 8,000 participants as well as one-day orientation programs throughout the year.
  • Assist with logistics of onboarding new professional staff, interns, and student employees regarding their needs of technology, telephone, office keys, etc.
  • Make travel and lodging arrangements for conferences and retreats.
  • Gather information for publications such as Semester at a Glance.
  • Establishes internal deadlines and priorities, improve existing processes within OST, and develop new processes to meet the changing needs of students and OST staff.
Student and Staff Support/Supervision (25%):
  • Answer phone calls and emails while providing a high level of customer service.
  • Supervise student office staff including recruitment, hiring, and training. Assigns work, follow-up, and evaluates student workers.
  • Coordinate coverage of office and events including day-to-day office responsibilities and special events which may include evenings and/or weekends.
  • Handle personnel details for student employees including EPAFs, hiring proposals, time sheets, hours, and manage PirateTime. In addition to office student staff, this includes almost thirty Orientation Assistants, temp employees, and summer interns.
  • As the first point of contact regarding new student orientation, this position must provide consistent, excellent customer service, and must be able to independently resolve and develop recommendations for problem solving while also serving as a resource person for students and families.
  • Requires an advanced level of attention to detail and ability to convey information in a timely and professional manner to on and off campus constituents.
Participate in the Life of the University & Student Transitions (10%):
  • Participate in the activities of Student Transitions including staff meetings, planning days, and other events.
  • Attend trainings and meetings within Student Life, the Division of Student Affairs, and other professional development opportunities.
  • Identify appropriate individuals, campus resources, and organizations to whom students, faculty, staff, and family members can be referred.
  • Organize and manage the Student Transitions PirateDrive and MS Teams.
  • Support events of the Office of Student Transitions including New Student Orientation, New Student Welcome and First-Year Photo, Commencement, Pirates Aboard, etc. May require after-hours or weekend work.
  • Other duties and projects as assigned.
Minimum Education/Experience
High school diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.
License or Certification Required by Statute or Regulation
Preferred Experience, Skills, Training/Education
Experience in a university or higher education setting.
