POSITION SUMMARY
The Warehouse Data Entry Clerk is responsible for accurately entering, updating, and maintaining warehouse and inventory information in INOX Solar Americas' systems. This position supports daily warehouse operations by ensuring that receiving, shipping, inventory movements, production materials, and other warehouse transactions are accurately documented.
The ideal candidate is highly organized, detail-oriented, computer proficient, and comfortable working in a fast-paced manufacturing and warehouse environment.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Enter and maintain accurate warehouse, inventory, receiving, and shipping data.
- Process inventory transactions in the company's ERP, WMS, or inventory management system.
- Enter receiving information for incoming materials and supplies.
- Record quantities, part numbers, purchase orders, lot numbers, and other required information.
- Process material transfers between warehouse locations and production areas.
- Maintain accurate records of raw materials, finished goods, supplies, and other inventory.
- Enter shipping information and prepare required documentation.
- Verify data against physical inventory, packing lists, purchase orders, bills of lading, and other documents.
- Research and correct data entry errors and discrepancies.
- Assist with inventory counts and cycle counts.
- Investigate inventory discrepancies and communicate issues to the Warehouse Supervisor.
- Maintain organized electronic and physical warehouse records.
- Scan and file warehouse documentation as required.
- Prepare reports related to inventory, receiving, shipping, production materials, and warehouse activity.
- Communicate with Warehouse, Production, Purchasing, Quality, Logistics, and other departments regarding inventory information.
- Assist with tracking materials and ensuring accurate inventory movement.
- Monitor system transactions to ensure they are completed accurately and timely.
- Support daily warehouse administrative activities.
- Maintain confidentiality of company and operational information.
- Follow all company policies, procedures, and safety requirements.
- Perform other duties as assigned.
DATA ENTRY & INVENTORY ACCURACY
- Verify information before entering it into the system.
- Double-check quantities, part numbers, locations, and transaction information.
- Identify discrepancies between system records and physical inventory.
- Report inventory discrepancies promptly.
- Maintain accurate documentation for audit and tracking purposes.
- Ensure transactions are completed in a timely manner.
- Follow established data-entry procedures and warehouse controls.
WAREHOUSE SUPPORT
- Communicate with warehouse associates regarding inventory movements.
- Verify material locations.
- Assist with cycle counts and physical inventory.
- Review receiving and shipping paperwork.
- Support warehouse audits.
- Assist with inventory investigations.
- Walk through warehouse and production areas to verify information.
REQUIRED QUALIFICATIONS
- High school diploma or GED required.
- Previous data entry, warehouse administration, inventory, logistics, or clerical experience preferred.
- Experience with Microsoft Excel and Microsoft Office preferred.
- Strong computer skills. Ability to type accurately and efficiently.
- Strong attention to detail. Ability to read and understand shipping, receiving, and inventory documents.
- Strong organizational and time-management skills. Ability to work independently and as part of a team.
- Ability to communicate effectively with warehouse personnel and management.
- Ability to work in a fast-paced manufacturing environment.
PREFERRED QUALIFICATIONS
- Previous experience in a manufacturing or warehouse environment.
- Experience with ERP, WMS, SAP, Oracle, or similar inventory systems.
- Experience with RF scanners or handheld warehouse devices.
- Experience with inventory control and cycle counting.
- Knowledge of shipping and receiving processes.
- Experience working with purchase orders, bills of lading, packing lists, and inventory documentation.
- Bilingual English/Spanish/Chinses skills are a plus.
